Privacy Policy

Your privacy matters to us - here's how we handle your information

Last Updated January 15, 2026

Introduction

Look, we get it - privacy policies can be a real slog to read through. But here at Resonatrixx Legal Services, we're pretty serious about protecting your info. We've tried to keep this straightforward and honest about what we do with your data.

This policy covers everything we do with personal information you share when using our website, contacting us for services, or working with us as a client. We're based in Toronto, Ontario, and we follow all the Canadian privacy laws - specifically PIPEDA (Personal Information Protection and Electronic Documents Act).

Quick note: If you're an existing client, your confidentiality is also protected under lawyer-client privilege and our professional obligations - that's a whole other level of protection beyond what's in this policy.

What Information We Collect

When you reach out to us or become a client, we'll collect things like:

  • Your name and contact details (email, phone, address)
  • Company information if you're representing a business
  • Job title and professional background when relevant
  • Government ID if needed for verification purposes
  • Banking info for billing (we don't store full credit card numbers ourselves)

We only ask for what's necessary to actually help you with your legal matters - nothing more.

For client matters, we collect and maintain details about:

  • The nature of your legal issues or business needs
  • Documents you provide to us
  • Communications between us (emails, meeting notes, calls)
  • Research and work product we develop for your case
  • Third-party information related to your matter

This stuff is protected by solicitor-client privilege - it's confidential and stays that way.

Like most websites, we automatically collect some technical stuff:

  • IP address and browser type
  • Pages you visit on our site and how long you stay
  • Where you came from (referral sources)
  • Device information and screen resolution
  • Cookies and similar tracking tech (more on that below)

This helps us improve the website and understand what content folks find useful.

How We Use Your Information

We're not in the business of selling your data or doing anything sketchy with it. Here's what we actually do:

Legal Services

Providing the legal services you hired us for - this is the main reason we have your info. Includes everything from drafting contracts to representing you in disputes.

Communication

Staying in touch with you about your matters, responding to inquiries, sending updates, and occasionally sharing relevant legal insights or firm news if you've opted in.

Billing & Admin

Processing payments, maintaining accurate records, managing our client relationships, and handling all the administrative stuff that keeps a law firm running.

Legal Obligations

Meeting our professional duties under the Law Society rules, anti-money laundering requirements, court orders, and other legal obligations we can't ignore.

Important: We'll never use your confidential client information for marketing or any purpose unrelated to your legal matter without your explicit consent.

When We Share Your Information

We don't just hand out your information to anyone who asks. But there are some situations where we need to share it:

With Your Permission

When you've given us clear consent to share info with specific third parties - like opposing counsel, other professionals working on your matter, or business partners.

Service Providers

We work with trusted vendors who help us run our practice - cloud storage, billing software, IT support, etc. They're bound by confidentiality agreements and only get access to what they absolutely need.

Legal Requirements

If there's a court order, subpoena, or law requiring disclosure. We'll notify you first unless we're legally prevented from doing so. We also have obligations under anti-money laundering laws.

Professional Advisors

Sometimes we need to consult with other lawyers, accountants, or professional liability insurers - always maintaining confidentiality and only when necessary for your representation.

Cross-border transfers: Most of our data stays in Canada, but some of our service providers might have servers in the US or elsewhere. When that happens, your info is subject to those countries' laws. We make sure any international transfers meet Canadian privacy standards.

Cookies & Tracking Technologies

Yeah, we use cookies - but not the delicious kind. These are small files that help our website work better and remember your preferences.

Cookie Type Purpose Duration
Essential Make the website actually work - security features, login sessions, etc. Can't turn these off. Session / 1 year
Functional Remember your preferences and settings so you don't have to re-enter stuff every time. 1 year
Analytics Help us understand how people use our site so we can make it better. We use Google Analytics with IP anonymization. 2 years
Marketing Track whether our ads are working. You can opt out of these. 90 days

You can control cookies through your browser settings. Just know that blocking certain cookies might make parts of our site not work properly. Most browsers let you see and delete cookies that are already on your device.

How We Protect Your Data

Security's a big deal for us - we're lawyers, so we take confidentiality pretty seriously. Here's what we do to keep your info safe:

Encryption

All data transmissions use SSL/TLS encryption. Client files are encrypted at rest.

Secure Storage

We use Canadian-based cloud services with robust security protocols and regular backups.

Access Control

Only authorized staff can access client info, and only what they need for their role.

Regular Audits

We conduct security assessments and update our practices to address new threats.

Staff Training

Everyone on our team gets regular training on data protection and confidentiality.

Document Management

Secure document management systems with audit trails and version control.

Breach notification: If we ever experience a data breach that poses a real risk to you, we'll let you know ASAP and report it to the Privacy Commissioner as required by law. Fingers crossed it never happens, but we've got protocols in place just in case.

Your Privacy Rights

Under Canadian privacy law (PIPEDA), you've got some pretty solid rights when it comes to your personal information:

Access

You can ask to see what personal info we have about you. We'll provide it within 30 days, though there might be some exceptions for privileged legal material or stuff that affects others' privacy.

Correction

If your info is wrong or incomplete, you can ask us to fix it. We'll update it or note your disagreement if there's a dispute about accuracy.

Withdrawal of Consent

You can withdraw consent for us to use your info for things like marketing. Just know that we still need to keep certain info for legal and professional reasons even after representation ends.

Challenge Compliance

If you think we're not handling your info properly, you can challenge our practices. We'll investigate and respond. You can also complain to the Privacy Commissioner of Canada.

How to Exercise Your Rights

Send us a written request (email's fine) with your name and enough details for us to locate your info. We might need to verify your identity before responding - just to make sure we're not handing your data to someone else.

There's usually no charge for access requests, but if it's gonna take significant time or resources, we might charge a reasonable fee (we'll let you know upfront).

How Long We Keep Your Information

We don't keep your info forever - just as long as we need it. The timeline depends on what kind of information it is:

  • Client files: Law Society rules require us to keep these for at least 10 years after a matter closes. Some stuff might need to be kept longer depending on the type of work.
  • Financial records: Tax and accounting requirements mean we keep billing info for 7 years.
  • Marketing data: If you're on our mailing list, we'll keep your info until you unsubscribe or we haven't heard from you in a few years.
  • Website data: Analytics and cookies get deleted based on the retention periods mentioned above.

When we don't need your info anymore, we'll either securely delete it or anonymize it so it can't be linked back to you.
